Off-Campus Travel

The Student Organization Travel Policy applies to individual students and members of Registered Student Organizations where such travel is sponsored by a Registered Student Organization regardless of funding source.

Examples of Registered Student Organization sponsored travel include but are not limited to:

  • Registered Student Organization activities, conferences, and off campus events.
  • Community service work.
  • Situations where a student or student organization represents the university (i.e., conferences, competitions, etc.)
  • Student Programs & Engagement sponsored retreats or workshops.
  • Events where members of the Executive Board are present and are serving in the capacity of the Executive Board throughout the trip.
  • Events where the organization’s name or Bentley University’s name is used when registering for any part of the event (e.g., the organization has registered for a competition utilizing the name of their organization or the university).

General Travel Requirements for Registered Student Organizations

All student and Registered Student Organization travel falling within this policy is subject to the same policies as on-campus events and must meet the following requirements:

  • Registered Student Organization travel funded by AIA must be consistent with the organization’s mission statement and constitution on file with SP&E. Travel must not create undue interference with academic responsibilities.
  • Each group traveling must appoint a Trip Organizer, who will complete the Travel Authorization Form via the Student Organization Support Form and sign off on their responsibilities in writing with SP&E no later than ten (10) business days before the start of the trip.
  • All students traveling must sign the Liability Waiver. Guests of Bentley students must complete the Liability Waiver before travel commences.
  • An advisor is required to be present at any student organization trip that will include travel outside of 200 miles or a three-hour drive from the Bentley University campus, and any travel that requires students to travel by airplane.
  • Required advisor attendance regarding travel at the level described above can be appealed by the student organization at the discretion of SP&E. In the case that SP&E accepts an appeal, a meeting with SP&E around the risk of travel must be arranged in a timely manner as a replacement of advisor presence. An appeal will only be accepted if an organization has taken all other reasonable steps to find a faculty & staff member to attend their trip.
  • International students should check with the Center for International Students and Scholars for any additional travel requirements.
  • It is the expectation of the University that any students who are driving themselves or other organization members are fully licensed drivers and can produce a valid driver’s license if asked.
