OFFICER TRANSITIONS

A transition plan will provide your student organization with continuity so incoming leaders can build on the knowledge gained throughout the years instead of starting fresh every year.

The items listed below are not an all-inclusive list for all organizations. Use resources that are relevant to your organization.

  • Transition Out of Your Leadership Position: Checklist

    Update CampusGroups
    Make sure to update CampusGroups to ensure the correct students have access to re-register the organization. Both officers and membership should be updated as much as possible.

    • Create a Transition Guide
    • Create a detailed document outlining roles, responsibilities, and tasks. Include any relevant information that would be useful.
    • Include a personal note encouraging them or giving advice from your experience.
    • Provide access to any relevant files, documents, or resources needed for the position.
    • Inclusive but not limited to digital files, physical materials, passwords, etc.
    • Provide new officers with access to CampusGroups and any other platform your organization uses. Explain how each of the platforms works and how they are used by your group.

    Host a Transition Meeting
    Schedule a meeting with the incoming officer(s) to provide guidance, share insights, and answer any questions they may have. Run through the transition guide in the meeting.

    Connect with Advisor: Inform them of the leadership transition and provide any necessary updates. Invite them to the transition meeting if wanted/necessary.

    Create Resources

    • Provide any important documents, templates, action plans, goals, to all new officers.
    • Provide a timeline with important dates such as re-registration, activities fair, important event dates that are relevant to the organization (traditional events, busy times of year, etc.)
    • Provide officers with contact information to important stakeholders such as SP&E staff members, advisors, or campus partners.
  • Transition Into a Leadership Position: Timeline

    First Week

    • Meet outgoing executive board members: schedule a meeting with outgoing members to learn responsibilities, understand tasks, and receive advice.
    • Review all documentation provided by outgoing officers and/or saved on your organizations page inclusive of constitution and transition guidelines.

    First Month

    • Set goals as a new executive board: define clear, achievable goals for your term. Talk about the mission and vision of the organization.
    • Review the current constitution and keep track of proposed changes to be voted on by the organization.
    • Meet with an advisor to introduce yourself, discuss goals and plans, and create a communication/expectation plan.
    • Meet with Student Organization Support Team liaison to talk through goals and plans for the year and to ask any questions.

    Ongoing

    • Meet your general members – take the time to get to know your fellow executive members and general members.
    • To ensure retention and growth of the organization, you will want to understand people’s interest in participation.
    • Update CampusGroups information – ensure that your roster is up to date, update new officers, and upload any documents/photos.
    • Keep documentation throughout the year (meeting agendas, event debriefs, event planning notes, etc.) Stay organized by utilizing SharePoint or a Teams page.
    • Attend and/or complete all necessary training. Attend and take advantage of workshops offered by Student Programs & Engagement.
    • Seek feedback from members, advisors, and the community to improve your organization.
